We collect information in two ways:

a) Information you provide directly

When you fill in the demo request form on our website, we collect:

• Your name
• WhatsApp phone number
• Email address
• Property name and type (e.g. hotel, villa, guesthouse)
• Any message or challenge you choose to share

b) Information collected automatically

When you visit our website, we collect limited usage data through Microsoft Clarity, a behavioural analytics tool. This includes pages viewed, session recordings, heatmaps, device type, browser, and general location (country/city). This data is anonymised and aggregated; it does not identify you personally.

We also use Google reCAPTCHA v3 on our demo request form to detect automated submissions. reCAPTCHA collects hardware and software information and sends it to Google for analysis. Google’s use of this data is governed by the Google Privacy Policy.

We use the information you provide to:

• Schedule and conduct a personalised product demo for your property
• Contact you on WhatsApp or email to follow up on your demo request
• Send you a confirmation email acknowledging your request
• Answer questions about GuestIQ and provide product support
• Improve our website and product offering based on aggregated analytics

We do not use your contact details for unsolicited marketing. You will only hear from us in connection with your demo request or subsequent use of the GuestIQ platform.

We do not sell, rent, or trade your personal information to third parties. We share your data only with the following service providers, strictly to operate our website and deliver our service:

• Resend — email delivery service used to send demo request confirmations and lead notifications. Resend processes your name and email address to deliver these emails.
• Microsoft Azure — cloud hosting platform where our website and server are hosted. Data at rest is stored within Azure’s South India region.
• Microsoft Clarity — anonymised session analytics. No personally identifiable information is shared with Clarity.
• Google reCAPTCHA — spam prevention on our demo form.

We may also disclose your information if required to do so by law or in response to a valid request from a government authority.

We retain your personal information for as long as necessary to provide you with our services and for legitimate business purposes. Specifically:

• Demo request data (name, phone, email, property) is retained for up to 2 years from the date of submission, or until you request deletion.
• Email logs from Resend are retained according to Resend’s own data retention policy.
• Analytics data via Microsoft Clarity is retained for up to 13 months.

Our website uses cookies and similar tracking technologies as follows:

• Microsoft Clarity sets cookies to analyse user behaviour and generate heatmaps and session recordings. These are analytics cookies.
• Google reCAPTCHA sets cookies to determine whether a form submission is from a human or a bot.

By continuing to use our website, you consent to the use of these cookies. You may disable cookies in your browser settings, though this may affect certain features of the site.

You have the following rights in relation to your personal data:

• Access — request a copy of the personal data we hold about you.
• Correction — request that we correct any inaccurate information.
• Deletion — request that we delete your personal data from our systems.
• Objection — object to our processing of your personal data.
• Withdrawal of consent — withdraw any consent you have previously given.

We take reasonable technical and organisational measures to protect your personal information from unauthorised access, disclosure, alteration, or destruction. Our website is served over HTTPS and our server is hosted on Microsoft Azure with standard security controls in place.

However, no method of transmission over the internet is completely secure. While we strive to protect your data, we cannot guarantee absolute security.

Our website and services are not directed at individuals under the age of 18. We do not knowingly collect personal information from children. If you believe we have inadvertently collected such information, please contact us and we will delete it promptly.

Our website may contain links to third-party websites (such as WhatsApp or Google). We are not responsible for the privacy practices of those sites and encourage you to review their privacy policies independently.

We may update this Privacy Policy from time to time. When we do, we will revise the effective date at the top of this page. We encourage you to review this policy periodically. Continued use of our website after any changes constitutes acceptance of the updated policy.

This Privacy Policy is governed by the laws of India, including the Information Technology Act, 2000 and the Digital Personal Data Protection Act, 2023. Any disputes shall be subject to the exclusive jurisdiction of the courts of Maharashtra, India.
